Security and privacy FAQ

CaseSync holds EMS records, so we built it to keep each agency's data private, to show who touched what, and to leave the legal chart in the paramedic's hands. This page answers the questions we hear most. For how we handle personal information, read our privacy policy.

Who can see my agency's data?

Only people your agency has put on its roster. And each person sees only what their role allows.

Every agency's data is kept separate from every other agency's. A person signed in to one agency can't read another agency's calls, charts or reports.

How does CaseSync know what my role is?

From your agency's roster, not from your login. When your administrator changes your role or deactivates your account, CaseSync applies the change the next time you do something. Nothing waits for you to sign out.

Is my data encrypted?

Yes. Data is encrypted in transit and at rest.

Is there a record of who looked at a chart?

Yes. CaseSync keeps an audit log of who read sensitive records and who changed them. Entries can't be edited or deleted after they're written.

Can anyone change a signed chart?

No. Once a paramedic signs a chart, the signature and the confirmed content behind it are locked. A correction is a new, attributed entry that sits alongside the original. The original stays.

The same is true of the narcotics ledger and of skills-check records. Entries can't be edited or deleted after they're recorded.

Does AI write anything into my chart?

No. CaseSync never writes AI-generated content into a chart or an export. The export narrative is built from a template and from content the paramedic confirmed.

Some reviewer tools can use AI to help rank or check findings on charts that are already signed. Those tools are off unless your agency's administrator turns them on.

Does CaseSync sign a Business Associate Agreement?

Yes. Ask us for a copy through Getting help.

How do I report a security concern?

Email security@verimedicsystem.com. Please don't put patient information in the message. Describe what you saw and where, and we'll follow up.
